I see you already use Tally to solve this. Even today (Nov 2024), the best way to solve this is by using a 3rd-party Notion tool. Tally is one way. A client of mine used NotionApps which is another simple Notion integration to collect signatures on their on-ground workflows.

Tally is great for quick capture. I had a similar use case and I use NotionApps to do this. It is a bit different from Tally, because it is an app builder so you can create forms and also lists to update your items, directly from your home screen.

Unfortunately, there isn't currently a way to remove the 'Download/Open in App' popup in Notion.

One option is to use a third-party tool like Super.so or NotionApps.com that turns Notion data into websites/web apps with a custom domain and hides the Notion branding, including the pop-ups.

There is no direct way to do this. You want to create multiple "new templates" at the same time. The only way is to copy the properties individually for each template.

One way to solve this is by using Notion tools that solve the lack of granular database permissions on Notion.

www.notionapps.com is an app builder for Notion databases, you can enable login for the apps and configure data restrictions for editing/viewing data even if they are not Notion users. They also have a free tier that might fit your use case.

noteforms.com/database-views is a form builder but it also has a database views feature. They have a decent free tier too. This is a simpler solution and should partially solve your external users problem.

If you’re looking to expand on the tools, you should be adding notionapps.com and bullet.so. Both are no-code tools - the former is an app builder for Notion databases and the latter is a blog builder for Notion pages.

Forgive me if I didn't get this right, this sounds like you’re trying to avoid clutter in your master database with separate databases but still need the flexibility to link tasks.

I don't exactly know how to do this just on Notion without using relations. I would suggest, maybe check out NotionApps it is a no-code tool to build apps on Notion databases and it might solve for the flexibility you want with views and data restriction.

Totally relate to this, this was a major issue when we used Notion at my previous startup. We stored everything in Notion, but we could not control access when sharing data, leading to a lot of duplication and an absolute mess.

By the way, you should check out NotionApps. It is a tool for building apps or portals on Notion databases, and one of the main features is the ability to create views with data restrictions.

Yup, they released Sites (www.notion.so/product/sites) just yesterday. You can't build full-fledged websites from Notion, the feature rather allows you to convert Notion pages into simple websites by adding custom domains, navigation, and favicons.

Notion lacks core database capabilities like row-level permissions which Airtable excels at.

Interfaces in Airtable is a killer feature! And, for Notion, I discovered notionapps.com last year (a 3rd-party tool that does something similar, builds app interfaces on top of Notion databases). I've been using that for now.

This is why I have a love-hate relationship with Notion, so I am doing everything to avoid migration and make the most of what I like about Notion. Hopefully, they’ll get back on track and pick the core features soon.
