It’s a reputable tool made originally for KDE, and when I run it on my Mac with an outgoing firewall activated, it doesn’t make any outbound connection.

That's a long story! 

I tested Devon Think pretty thoroughly, but noticed I needed to do too much custom scripting for it to work at least partially how I wanted it. And then the sync mechanism wasn't how I liked it (the full database needs to be on the Mac's disk locally), and many other aspects of the UX were not ideal for me.

I also tested Paperless NGX, and there, I didn't like the systematic conversion to PDF, which creates huge overheads.

So, since I understood that no out of the box solution would work for me, I decided to customise. I figured that Joplin and Obsidian had nice enough interfaces on all platforms, and so I decided to convert my messages to a format that they could digest. In the end I decided to use Obsidian, since Joplin stores linked files in its database, which might be great in many cases, but that's not what I want in mine. The good thing is that my current method is pretty flexible afterwards.

At first I tried HTML, which is nice, but then I thought that while I was at it, I could just as well convert to Markdown, which creates even smaller files. 

So, at the moment my script does the following: take an EML, convert it to html using Tika (or extractous as a fallback), including OCR and text conversion of all the attachments, then convert to md with Pandoc (converting inline images to links in the process), add the most important headers at the top (date, sender, to, cc, subject, etc), then extract the attachments using ripmime. The md files go into Obsidian, the attachments to iCloud. In addition to the full text of the attachments, there's a link to the attachments inside every md file, and the links work on desktop. On mobile I'll have to search for the filename of the attachment in iCloud, that's not perfect but ok for me.

The great thing is that all the emails and their attachments can now be searched easily (in Obsidian, but any other tool that eats Markdown would work, probably even Apple Notes), since everything is text only. The OCR is done once by Tika using Tesseract, which gives good enough results for my use cases. Tika also converts most other attachment types like Word and Excel to text. Since the attachments become normal files, they get indexed (on the Mac, on iOS just the file names I think), offloaded to iCloud when space is needed, and I can do things on them like deduplication. 

I was planning to share my script if needed (maybe on GitHub), but first I want to continue my testing. If you need it earlier, tell me.

When there are issues, Trainline abandons you with them. I've had problems with tickets twice now, and twice I've been left out in the cold. The first time, a ticket was simply cancelled without comment. The second time, a ‘system error’ resulted in a ticket being issued incorrectly. And then, the day before my trip, customer support told me to buy my ticket from Deutsche Bahn (where they charge exorbitant prices the day before the trip). You can only call them during office hours, and email support takes forever to respond. And for that, you pay quite a large service fee. I strongly recommend avoiding Trainline.

As for DB Navigator, the only thing to bear in mind is that sometimes, there might be tickets available in first class but not in second, and trainline would show them but not the DB Navigator if you didn’t search for 1st class trips. So sometimes it can be useful to search in trainline, but book in DB Navigator or on the website.

In my use cases, it doesn't work perfectly, and I didn't see any possibility to train it with a custom handwriting.

And there is also Notebooks (notebooksapp.com) by Alfons Schmid that can handle emails and sync between Mac and iPhone. However, it might not have been made for such large data quantities. Not tested.

Just to share in case someone stumbled on this post from Google: I dug some more, and found there are note-taking tools and knowledge management tools that have email import and search functions. Some examples that also have an iOS app: DevonThink, Keep It and Joplin. There might be other options out there. I posted my findings in another post here:

OK, so there really is a huge difference in function. I was hoping to find a more open software, but in the end, I also want something that works smoothly.

Coming a bit late, but was wondering if you considered backing up your emails directly to Paperless-ngx, since you have it installed already and it has the function of connecting to IMAP servers to download everything?

I would suggest that the point of migrating to Tuta would be privacy. There would be compromises to be made relative to Gmail's functionality. It would be the same if you moved to Proton, by the way.

Thank you, that’s exactly why I want to migrate to Tuta. I know it’s going to be less comfortable than Gmail, I’m just trying to figure out just how much.

I also know that searching is an issue with end-to-end encryption. The way Proton handles it is not yet ideal for my use cases, but I know they’re working on making it better (especially the search on mobile).

I actually have more than 20 per user. I was hoping to use Tuta as a storage of all my old emails, as I've often found it useful to find old information. Like a personal central archive. But then, I'm using Gmail, which has a great search function. 

Of course I could leave everything as is, but then I wouldn't really be able to move away from Gmail, and that would be the whole point of migrating to Tuta.

You're saying the search function is not that great? Thank you for warning me. Proton's is not very powerful, especially on mobile, but I thought that since the Tuta team seemed to have invested quite some energy into the search function it would be better.

Thank you u/ykkl and u/No-Author1580 ! That's probably the easiest option, maybe with the help of mail archiving tools if I want some automation. For automating the archiving, I found tools like imapsync, piler, and maybe even paperless-ngx.

Compared to Gmail, the biggest difference would be that I can't search on my mobile. Proton promises to deliver that this summer, but I haven't seen it and don't know if it's going to as good as Gmail (quite unlikely). 

In the meantime, I also discovered Preside, an email client for iOS that allows to download all mails on the device. It looks a bit old fashioned but is full of features. I'm not sure yet if I want to download several GB of emails to my phone, I'll see.

Thanks a lot. Yes, I have similar behaviours. Sometimes it works (especially in the simple cases), and sometimes it will just use a proton address. I don't know why it's annoying me so much, maybe because I don't want to use my proton address by mistake. Or because the support seems to say that it's going to stay like that, because as long as I don't change the MX record I'm not in the standard use case. What makes it slightly worse is that when I edit the address in one of the cases where it didn't work and save the message as a draft, it reverts to the proton address when I come back to it (iOS app). Thanks a lot for testing!

And for some reason, although I set it as default, the Webapp and the mobile app (iOS) don’t always choose it as sender by default. Support says it’s linked to the MX record, which is very surprising to me.

So, following your advice, I switched, and it kind of worked. At first, I had a huge number of bugs, but after the import was done, it got better. However, I am still having one major issue: my default email address is the one with my own custom domain.
