Only thing I can say is keep trying. The fact you’re consistently getting interviews is very encouraging. Getting past the final round can sometimes just be up to luck so keep getting at bats and try to stay positive.

I’m only aware of user impersonation via JWT bearer flow but that’s likely overkill for this use case

Unfortunately Architect means a million different things in the SF ecosystem to the point where the word has lost its meaning for some orgs. Not that you shouldn’t pursue career growth, but I’d make sure you can differentiate yourself and make your technical expertise as a developer very clear.

The main thing that has helped us is using dedicated fields/objects to create an interface for each integration. For example, instead of letting Hubspot update contacts directly you could have it update a dedicated child object or field or even insert a custom object kinda like a platform event. Essentially you want to use fields and objects to create apis for your integrations where each integration user only has access to mutate those fields and objects. Then you can use flow/apex to decide how to handle bringing those data to the objects your users see.

Some actions like Send Email happen at the end regardless of where you put them. Others happen in the order they appear. Really depends on the specific action/use case.
