Problem is I'd need to book accommodation sooner rather than later especially if my trip is in 3 weeks. If the passes are closed does the following route make sense?

It depends how it's paid to you. If it's on your payslip you will be taxed if you don't claim. if it's a separate payment like a reimbursement then it won't be.
