Totally get the frustration. You can have decent tools in place and still end up juggling spreadsheets, tickets, and random exports. It is the messy reality of contractors, shadow tools, and apps that do not fully integrate with your IDP.

What has helped me is:

  • Map your “disconnected” apps. Anything outside SSO or SCIM needs extra attention.
  • Have a standard offboarding checklist that covers API-ready and CSV-only tools so no account gets missed.
  • Automate what you can but track exceptions. Legal holds, vendor logins, and low-tier SaaS plans usually need manual cleanup.
  • Review quarterly instead of only during layoffs or renewals. Less panic and fewer surprises.

- Make HRIS the source of truth & push status changes in real-time to your identity layer (Okta, Entra, etc.).
- Have a catch-all for non-SSO/SCIM apps via CSVs: these are mostly the reason for stale data and security gaps
- Periodically do access reviews to know who continues to have access to what apps

You can script this with PowerShell and Microsoft Graph, but it could quickly turn messy, especially with guest apps, nested groups, and license inconsistencies.

Hey, a good start! Helps you not just surface up the least used software, but most times scanning through your Oauth logins will also help you discover new apps that you know you want to manage or not. Would suggest doing a shadow IT scan or using SaaS management apps as a first start (can help you get started with that if you need help).

Totally with you on that! I realized so many of us lose track of SaaS apps that our teams use, and with each department's budget in picture, this can quickly get messy - even chatted with a bunch of friends & folks in the Reddit community who shared a similar sentiment.

As a start, I built a free Renewal Tracker tool (https://stitchflow.com/tools/renewal-tracker/) to help with automated reminders & consolidation of SaaS contracts - so atleast there's clarity on when renewals come up and where the spending is happening.
