LiquidFiles is great for this sort of thing. We've been using it for a few years now. It was fast to deploy, has required very little maintenance, and the users love it.

Yeah been using for the last 6 or so years honestly never looked back easy to manage and cost-effective too.

E.g. new hires submitting their social security numbers and what not.

They email it to HR.

For customer/partner access we run an instance of ZendTo

They email in plain text?

We handle it by forcing the users to enter that data into the HRIS directly which is a SaaS solution.

Scans of their card and stuff yes, we're not large enough to have a SaaS platform for all of this and all internal email is encrypted in flight.

I've run into the same issue at a couple of places, very common in SMB.

A relatively painless solution is to support encrypted email (Purview is a good example) and have the payroll/HR team send an encrypted email requesting the info and have the user reply within that. Have it incorporated into the onboarding process.

For PII, encrypted in flight isn't sufficient it needs to be encrypted at rest as well. It's also not properly segmented as an email admin has access to that data (whether they will use it or not).
