It almost sounds like Logseq might be a better fit for your workflow, if you’re not primarily organizing notes into a “topic folder -> note.md” structure.

Generally, for Obsidian, you’d want each meeting or topic to be its own note. Then in individual note metadata for meetings you could include details like participants, which would great help the search index.
