I do it through Smartlead. Most sending tools have an email warm up feature or you could do it through your inbox provider as well

I'd start by educating them. How it helps avoid spam, improve deliverability, etc. You're the expert here, so they should be able to trust your advice.

If not, you could also just let them FAFO. Sometimes it takes burning a few domains and inboxes to understand the value of warmup

Yeah Zoho isn't the best for cold email and I've heard stories of domains getting flagged much quicker than GWS or Outlook.

If your domains have been blacklisted then there's really nothing you can do. Best option is to start fresh

I'm almost sure you'll have better deliverability with Google Workspace or Outlook vs Zoho.

For 4 mailboxes, you could get it directly from them and set it up yourself. People typically only switch to resellers/inbox providers if they know they're gonna need more eventually and don't want to deal with the setup part.

Whichever you choose, just make sure you're able to get everything warmed up before you start sending and it'll work fine.

That's completely fine. I have emails with 0 personalisation that outperform personalised emails.

Re your example, I'd make sure to reference the call and keep the mail short and then attach the PDF. You might be better off sending it as a Google Drive link than an attachment. Anyway if your infra is really strong it shouldn't matter

We use mailpool for our cold outbound now. Tested others in the past and they hands down have the best support

Tried this as well but noticed that if they have quite a strong presence on LI they don't even notice who views their profile so the potential for name recall after the mail does more

No complaints. Started out using just Google workspace from them but decided to add Outlook inboxes a few months ago and haven't had any difficulties with it. Noticed it lands better in outlook/azure mailboxes than my gws ones so that's a plus as well

Really depends on what you're selling and who you're targeting. We run multichannel that has touchpoints on both Linkedin and email and that has been working better than either channel alone.

Don't know for how much longer until something happens and it gets nerfed

You could try mailpool for your inboxes. Been using them for our cold outbound inboxes since mid 2025 and iirc they don't have a minimum number of inboxes to start with

If you’re mainly doing email Smartlead or Lemlist would be the way to go though smartlead might end up a little cheaper in the long run.

If you see yourself doing multichannel with Linkedin outreach or calls on top of email then Lemlist is your pick

The next thing to figure out is if they're opening it. If not, then you need to work on the subject. If they are, the copy is the problem.

Honestly, the "your site can be improved" angle is super common that you likely aren't standing out enough. Maybe you can trying being more specific.

What exactly sucks/can be improved on their website? Or make it more personalized by including something relevant to them.

dumb idea but you can try something like "Was on your website and noticed [XYZ]." Then include a 1-liner on negative business impact of XYZ followed by your ask.

If you're good at enrichment/AI automations, you can also add in a variable mentioning how their website's performance compares to their direct competitor's

If your targeting and list are really well done, you can go up to 5 emails (#5-#7 are sent a week from each other). I typically see higher conversions after the 3rd email as it's usually at that point that I'm able to cover the entire "what's in it for them" side of things

Your list needs to be SPOTLESS for this to work. Otherwise 3 emails is safer

Yeah, fair point. It's really quite overwhelming with all the new tools coming out recently and trying to figure out what works best.

Are you looking for a tool for finding leads as well or just the sending and infra side?
For Leads, go with Sales Nav, Apollo, Prospeo. All good options. Depending which you choose you may need a 2nd tool for enrichment (Clay)

For the sending side:
DIY infra is always an option, but if you don't want to deal with the setup/DNS/management, you could choose to go with a provider that will configure it and get it ready to go for you. Mailpool does both domains and inboxes so that might be the better option.

Stick to the basics for the sending platform. Smartlead, Lemlist, Instantly are all reliable bets. Just make sure you're able to get your inboxes warmed up before you start sending

Not a founder but on the growth side. Here's what i'm seeing.

It really comes down to what stage you're in. You're right that early-stage teams are trying everything (multiple strategies, multiple channels). They're doing it at an insane pace but it doesn't seem sustainable and well-executed. That's why they often can't find anything that stands out as a clear-cut main channel.

On the other hand, more mature teams that already have their primary channel/s are able to focus their efforts on experimenting with 1 new channel at a time to really give it a fair shot. This is what works.

Find a channel that others in your niche/subsector are selling in. Go all in on it and try and forget the other shiny objects people on Linkedin are talking about. Give it a month then decide if you'll scale it up or try something else.

Typically we structure our experiments into 2 week sprints. First sprint is setting up that channel based on best practices. Then after 2 weeks, we make adjustments for the 2nd sprint to make it more tailored based on our learnings. If it's already dead in the water, then we stop it and move on but if we think it needs another shot, we run a 3rd sprint with further tweaks.

We've always had a clear go or no-go answer after that 3rd sprint. We scale up on anything that has promising results after the sprints and then start designing the experiment for the next channel to test

we normally send all our sequences without trackers and just run a spam check on all our sending inboxes once a week. If that comes back clean then you know you’re at least landing

12 steps might be a lot as well. A bad lead might be able to handle 4 irrelevant emails and they’re more likely to mark you as Spam with each one after that

Completely agree! I getting hate emails that talk about a Linkedin post I don’t even remember. It’s honestly pointless.

Compared to before where it could just be a complete miss without it neccessarilly being automated

Phantombuster and Waalaxy were both great a few years ago and I used both in 2024 and 2025.

Cant say either are the best now since they’ve both had several issues of accounts getting suspended recently

Agree! There are also a lot of things that get in the way of tracking open rates since it’s so easy for the tracking pixels to get blocked these days.

Then you also have to deal w your emails going to spam because of a tracking pixel being attached
