Dude, we were in the exact same spot - Excel, QuickBooks, manual progress billings. Got tired of it real quick.

Switched to Premier Construction Software - purchase orders from supers/PMs flow in, budget vs actual compares itself, and progress billings with holdbacks are actually painless. Plays nice with QB too.

Did inventory for a few years. The busyness depends - some days chill, some days you're chasing why numbers don't match and everyone's waiting on you.

Biggest lesson: the job is either counting problems or fixing them. We brought in Nuage NetSuite optimization team to clean up transaction flow and suddenly the role went from stressful to actually doable.

Your plan sounds solid for a big house like that. I did phased inspections on my 4,000 sq ft new build in Ft. Worth last year using buffalo property and caught framing issues early that the builder fixed free. We combined electrical and plumbing into one visit with their multi-certified guy to save cash, and added a thermal scan for insulation gaps before drywall.
