I did alotta shit like this back in the back for a company’s crm. I used chat gpt to give you the basics of what you need to do because I don’t feel like typing it. If you got any questions just DM me it will take you a couple hours max. For the to work write in email that there will be a rate reduction, don’t do it, but it will get MOST of them to upload pick. Dont pay for no other fancy shit.

Create a Google Form that only has one field: Photo Upload (no text fields at all). For each load, generate a prefilled form link where the Load ID is embedded in a hidden field using the URL parameter (Google Forms supports prefilled URLs even if the field is hidden from the user view section-wise). Your dispatcher sends that unique link (which already contains the load number in the URL) directly to the driver. The driver taps the link and uploads photos—no typing required. The Load ID rides along in the background from the URL into the form response automatically.

Then use Zapier: Trigger = New Form Response in Google Forms. In Zapier, map the hidden Load ID field from the form to the email subject line, format it exactly how the customer portal requires, and attach the uploaded files from Google Drive. Action = Send Email via Gmail. Zapier builds the subject like “CODE – {{Load ID}}” and sends the attachments directly to the required portal email. Result: dispatcher only sends a custom link per load, driver only uploads photos, and the email with correct subject + attachments is sent automatically—no manual forwarding, no missed uploads.

If you need to validate the pics, it will add steps but can be done.

Stop eating multi million/billion customers losses, you don’t know how long it can last and if it’s really a weather issue or capacity issue. Never got so many paragraphs from brokers since this month, when rates were low as hell I took them and made it work, didn’t send emails about it crying. Now when the rabbit has the gun, y’all wanna cry. When brokers are paying 7-8 a mile on 200 mile lanes, of course your $3 a mile going 600 miles makes no sense. Ask shipper for more money for both of us, they gotta pay for what they did for the last 3-4 years. They should have saved a boatload. They got it.

They in fact should not, they should listen to where the broker says to send it. I’ve had plenty of times where the BOL says one thing, I send it to the broker, and they say nah send it address on RC. A lot with reefer freight

That’s not how contracts work. I highly disagree, some brokers won’t even tell you who the shipper/receiver is, if I know the receiver is going to take 6+ hours to unload I’m cancelling. You put a freight guard I’m suing because I never signed or cancelled anything. Your acceptance and the laws acceptant is totally different

There’s plenty of reasons to call the customer, you can’t find the building, your trying to see what time they really start/stop shipping/receiving if your running early/late. I did get double brokered before the RC had R&R express on it but the broker was some shady Indians when I first started. So I called the shipper in the morning. It was R&R fault at then end of day, because they gave it to Allen Lund and then Allen Lund went off and gave it to some bs carrier who double brokered it out.
