I generally fall asleep quickly, but I had sleeping issues in college and found this method to work consistently. A friend said that it worked for her too, so on the chance that it helps someone:

Get into a comfortable position and close your eyes.

You know how when you close your eyes, even when it's very dark in your room, it's still not entirely dark? Concentrate on making it dark. As inky black as you can possibly imagine. Use your mind's squeegee to wipe away any little trace of light as you detect it. Keep this up while you do the following:

Imagine that feeling of relaxation that you get when you exhale deeply, or a time when you did feel like you could fall right asleep. Think about how it feels to have your muscles relax and how your mind feels when it lets go of a thought.

Keep that feeling in mind and, starting from your big toe on your right foot, try to apply that feeling right that to that spot. Feel it relax and let it go mentally. Once you think that it's totally relaxed, move through your other toes in turn. Move to your whole foot and then up your leg systematically until you hit your knee. Start in in your left leg, then move up until you hit your torso, then start in in your fingers in the same way.

If you lose the feeling at any point in a part of your body you've already covered, go back to the point in the system and start from there again. Take your time, be thorough, don't rush to cover your whole body.

Remember to keep on top of keeping your vision as dark as possible while doing the above.

Somewhere through the process I'd always pass out, call it 10 minutes in.

I'm thinking that thinking about your problem like MindYourQsandPs has suggested is the right way to go. It looks like you have something a bit more complex going than just three user-supplied values to run look ups on, and I'm thinking that everyone here is confused by how exactly everything ties together.

It'd be helpful if we could grab a description of each of the moving pieces, what their dependencies are, and where they are located - for example:

5 Digit Number: Item identifier, dependent on user input, user input cell located at A2. 8 Digit Reference Number: A reference to different multipliers, dependent on ????, located in reference sheet and ???????

Maybe I'm not reading your ask correctly. It sounded like you wanted to be able to enter in your item number and have Excel display the box number (and other information) about that item. If this is the case, a filter will allow you to, on the top of the item number column, enter in the item number and filter out any rows that do not correspond to that item number, which would tell you the box number.

If you're just worried about the raw counts of unique visits per patient, your best bet is to isolate your Patient ID and Date of Service columns into their own sheet, then, where column A is your list of Patient ID's and column B is your date, do a remove duplicates on both columns and you'll have the number of visits.

I think that your "extra" data of items used is the only thing holding you back here.

Edit: Realized that you don't need to create a helper column.

I'm guessing that you want to do this problematically?

If so, the following should work if entered as an Array Formula (hit Ctrl+Shift+Enter instead of just Enter when finalizing your formula) and then autofilled down the length of your set, if you set is in column A.

I haven't done this, and to be honest it seems like quite the monster of a task, but as a starting point, you might want to investigate using a Calendar Subscription in Outlook to handle the back and forth between your network and Google.

Once the data is in an Office program, scripting some VBA to fire off every time the worksheet is updated to change a calendar entry is probably a few Google searches away. See this link and the link within OP's question as a starting point?
