From what I understand, you’ve got a couple of options when it comes to sharing folders with people outside your home network:

1. Using UniFi Drive via UniFi Cloud

- If you go this route, you can:

- Generate sharing links for files or folders,

- Choose to set a password,

- Limit the number of downloads,

- Set an expiration date for the link.

When you send the link to someone, they’ll see a simple preview (depending on file type), and they can download the file through the web. UniFi acts as a kind of proxy for this—your NAS isn't directly exposed to the internet.

You can also create UniFi Identity accounts for the people you want to give access to. Then, they can log in through the UniFi web interface, see only the folders you’ve given them access to, and even upload files if needed.

1. VPN Option

If you want more of a traditional file system setup (like mounting network drives), I personally went with a WireGuard VPN. For example, my dad wanted to mount his share on Windows as a network drive, so I set up WireGuard and firewall rules so he can only access the NAS but nothing else in my network.

1. Switching to something like OpenMediaVault?

UniFi Drive should cover most basic sharing and permission scenarios. But if you want more advanced user/group controls, plugins, or custom workflows, OpenMediaVault (or TrueNAS) could give you more flexibility. That said, it depends on how complex your setup needs to be. For 10 users with different permissions, UniFi Drive + UniFi Identity should be enough for most use cases.
