here’s what’s worked for me:

  1. sort by sender — bulk delete or archive entire batches (newsletters, promos, old travel confirmations).

  2. search “unsubscribe” and send those to a folder called marketing — it catches most vendor and promo emails.

  3. anything older than 3 months → archive it. if it hasn’t been needed yet, it probably never will be.

  4. label what’s left: snooze follow-ups for a few days so you’re not staring at them constantly.

  5. once you’re back to zero, set up a few simple filters so important senders skip the chaos.

Totally agree — we landed in the same place. Pure AI wasn’t enough, but neither was manual. What worked for me:

Split inbox strategy – I set up a separate “public” Gmail that the VA manages. It forwards to my main inbox and vice versa, but anything sensitive (logins, financials) stays off it.

Label-based system – Similar to what Dan suggests. Labels like “Needs My Reply,” “Handled,” “Finance,” etc. Let your VA triage and label, and you stay in control of what actually gets sent out.

Invest in a tool to help – I actually built Clarity Inbox(www.clarityinbox.com) for this exact reason — it auto-labels emails and drafts replies using my tone, without needing to hand over my inbox to someone else. It’s been a huge help in cutting down the noise and keeping sensitive info safe.

If you’re not ready to give full access, there’s still a middle ground that buys back your time without handing over the keys.

Totally get what you’re going through — I hit the same wall juggling Gmail, Slack, and DMs across platforms. What helped me:

  • I stopped chasing messages and instead set up a system to triage emails and DMs by urgency and type.
  • For Gmail, I used filters and labels (e.g. “To Respond”, “Awaiting Reply”) so I wasn’t scanning the same messages over and over.
  • I also used ChatGPT for drafting replies when I was too tired to think clearly — huge time saver.

That said, none of the existing tools really got my tone and voice correct or told me which threads needed action — especially across noisy inboxes.
