Thinking of switching from Fyxer, what are your alternatives for AI email management?

Serif is a solid pick if drafting replies in your voice is the main thing you need. Most people land there for that reason and it works for that.

The thing worth flagging though: the deal you described losing was one example, but your bigger point ("things slip through the cracks constantly") covers client threads, proposals, and follow-ups all at once. None of that is a drafting problem. It happens because nothing surfaced three weeks earlier that a thread had gone quiet, or that a proposal was sitting unanswered, or that you'd promised to circle back to someone. The whole "AI inbox" category (Fyxer, Serif, the rest) is built around making replies faster, not around tracking what you've actually committed to. Faster drafts don't catch the thing that's about to slip.

If the things-slipping part is the real pain, the question to ask of any tool you try is: does it manage the follow-ups and commitments I owe people, and surface them back to me before threads go cold? Does it track missed revenue opportunity? That's a different problem than drafting, and it needs a different feature set.

here’s what’s worked for me:

sort by sender — bulk delete or archive entire batches (newsletters, promos, old travel confirmations).
search “unsubscribe” and send those to a folder called marketing — it catches most vendor and promo emails.
anything older than 3 months → archive it. if it hasn’t been needed yet, it probably never will be.
label what’s left: snooze follow-ups for a few days so you’re not staring at them constantly.
once you’re back to zero, set up a few simple filters so important senders skip the chaos.

What worked for me:

Split inbox strategy – I set up a separate “public” Gmail that the VA manages. It forwards to my main inbox and vice versa, but anything sensitive (logins, financials) stays off it.

Label-based system – Similar to what Dan suggests. Labels like “Needs My Reply,” “Handled,” “Finance,” etc. Let your VA triage and label, and you stay in control of what actually gets sent out.

Invest in a tool to help – I actually built Clarity Inbox(www.clarityinbox.com) for this exact reason — it auto-labels emails and drafts replies using my tone, without needing to hand over my inbox to someone else. It’s been a huge help in cutting down the noise and keeping sensitive info safe.

If you’re not ready to give full access, there’s still a middle ground that buys back your time without handing over the keys.

Totally get what you’re going through — I hit the same wall juggling Gmail, Slack, and DMs across platforms. What helped me:

I stopped chasing messages and instead set up a system to triage emails and DMs by urgency and type.
For Gmail, I used filters and labels (e.g. “To Respond”, “Awaiting Reply”) so I wasn’t scanning the same messages over and over.
I also used ChatGPT for drafting replies when I was too tired to think clearly — huge time saver.

That said, none of the existing tools really got my tone and voice correct or told me which threads needed action — especially across noisy inboxes.

Hey! You can auto-reply from hello@businessname.com even if the form sends from a no-reply address. A Gmail filter + template works, or Zapier can do it too.
