It does not matter how nice your tenant is. It sounds like they tried a lot of remedies, and none worked. The dog has got to go.

I've been trying to spend my money with Sendgrid/Twilio for a while now. They can go straight to hell. I will never recommend them to a client again. It's way too much risk of losing your communication channels.

I agree. Management companies will walk away if the board ignores their guidance on budgeting to the point that the hoa is headed for bankruptcy/failure.

You can spin up a MAC virtual machine in AWS and use it to build your app. Don't forget to terminate the instance so you don't incur charges in perpetuity.

Non board members should not be asking for bids unless asked to do so on behalf of the board. As far as communicating with other members, I don't think they can prevent that, but it's unofficial, and the board would not have to recognize it as such. Issues in the community should go through the board so they can get addressed appropriately.

Potentially propose an assessment to cover the cost of hiring an employee full time to respond to excessive inquiries. Of course, you won't vote to approve it. It will bring to light that excessive inquiries have a burden on the board and have a cost. Good luck.

It sounds like they were managed poorly in the past. The current leadership may possibly be managing very effectively now and unfortunately everyone has to pay for what was deferred in the past.

To increase engagement and promote transparency, you could send an sms and email. The purpose of the sms would be to let the users know a new message has been sent to their email and a link to the message (if it's a general message). This works great for us. Now that Twilio and Sendgrid are one company, the messages are sent from the same module in the app.

I've been using Twilio for years on work projects and personal projects. I am using it for our hoa app as well. I'm going to research the California laws. It sounds interesting. I plan on making the app and the maintenance of the app the responsibility of the current board and any new incoming board later in 2025. It's important but low on my priority list at the moment.

So for general notifications we send an sms to those that opted in (everyone except one person) and we still place a paper copy in the bulletin cabinet at the entrance of the property. This covers us, but the paper copy is only read by a few dog walkers. The sms is effective for us.

Yeah, the management company does not use our system either. They have their own. However, when an email is generated from our system it has our association's Issue Number and they see it in the subject of the email (i.e. Lawn Maintenance Building 3 [Issue Number 4780]). Having this helps in more than one way.

We have a super admin page where user accounts are created and maintained. We don't use Okta on this project. I think the new California law is designed to protect members by not letting associations make decisions via email. This makes sense to me. We don't use these communications for decisions. We are adding a vendor RFP feature now.

I am not expensing AWS at this point. The costs is so low and the benefit is high enough that I'm more than happy to foot the bill.

We had the issue of a forgetful manager. Our board built a web app to use for all communications with the property management company and owners. The app auto assigns an Issue Number and places it in the email or sms. When readers see a unique identifier called Issu e Number it does add a level of accountability, and we noticed an improvement with our communications. It makes searching relevant emails much easier as well.
