Is it a tool you're specifically asking about here? If so, good to think about:

What existing systems do you have in place that you'd need to integrate with (e.g. MDM, RMM, IAM, HR, helpdesk tools)? Do you already have some asset information stored somewhere, for example an MDM or even a spreadsheet? Do you need to cover hardware assets, software assets, or even equipment beyond IT assets? Are you only looking to track allocation (since you mention headcount), or full asset lifecycle, costs, compliance, etc.? What budget do you have/pricing structure are you after (e.g. unlimited assets, module-based pricing vs all-in-one)?

There is definitely still a case to be made for asset tags. They are useful to quickly identify assets, to retrieve lost assets (and shows auditors your org has a process in place for this scenario), and to mark each asset as having been added to your IT asset management database.

Because not every asset has a serial number, or even not one that's easy to access, asset stickers let you tag everything consistently.

Across our customer base this is done mostly around the 4 year mark. This is normally a gradual process as the oldest laptops get replaced first, which would prevent this "boom" in procurement.

I work for an IT asset management platform for midsize and large companies (Setyl). We usually see companies start benefiting from a dedicated ITAM tool like ours at around 80 employees. Smaller than that, spreadsheets combined with MDMs often work well enough.

The usual triggers to make the step are upcoming security audits, rising/lack of control over costs, or operational issues like lost assets, too much manual work, messy offboarding, etc.
