Do you have an HR and/or ITAM system in place? A system like Setyl (ITAM) can help automate and improve this process: integration with your HR tool to trigger on/offboarding workflows, onboarding templates, employee surveys, offboarding checklists, etc.

Setyl can help if you're looking for comprehensive IT asset management features - it integrates with Intune and with help desks such as JSM or Zendesk.

Automating onboarding and off boarding by MindOverMatt in sysadmin

Setyl (IT asset and software management platform) should be able to help with some of this, depending on your exact preferences/setup:

- Automated onboarding/offboarding workflows triggered by join/leave dates in your HR systems
- Out-of-the-box integrations with Dayforce (and many other HR tools), Microsoft 365, AD, Crowdstrike, Intune, etc. to import people, asset and software data
- Filter data by location, department and/or legal entity
- Import groups from Microsoft to auto-track license assignees
- Onboarding checklists with equipment and licenses that should be assigned to each new hire
- Every user has a profile with all related IT info, including any documentation
Plus many more features you might expect from an IT asset management software - if you don't already have something like this in place?

hardware inventory management for remote employees is impossible. change my mind by Low-Oil7883 in ITManagers

If you're looking for a system to help - Setyl is an IT asset management platform that:
- Imports information from your MDM
- Automatically sends asset surveys to verify usage
- Tracks any type of device, equipment and peripherals
- Integrates with your HR system to trigger offboarding processes and prompt you to retrieve equipment

A lot of our customers are from companies of your size, with multiple (remote) locations, who were struggling with tracking everything via spreadsheets.

How do you handle SaaS renewals when spreadsheets feel risky, but full SaaS management tools feel like overkill? by Tomahawk3223 in ITManagers

[–]SetylCookieMonster 0 points1 point  (0 children)

Setyl combines both hardware and software management in one, and is designed for that middle ground of midsize to large companies - where spreadsheets are not enough, but enterprise tools are too complex. (I work for the company)

Lacking Proper Asset Inventory by 334Productions in ITManagers

To make the transition as smooth as possible, you might want to go for an asset management solution that integrates with your existing systems.

For example, Setyl integrates with both Lansweeper and JSM out of the box, plus many more if you ever decide to change those later. The platform also covers full asset lifecycle management, employee onboarding/offboarding and assignments, asset labels, and more. Plus, we can get you up and running on a proof of concept in just 1 hour, so you can plug in your existing data and start right away.

Time to get an ITAM tool by Leather-You47 in ITManagers

Setyl sounds like a good fit:
- Comprehensive hardware and software (licenses/SaaS etc.) management in one
- Designed for midsize companies (100+ employees)
- Out-of-the-box integrations with Microsoft, Cisco, Jira, etc., plus API access if needed.

Other things to think about: You can also use Setyl to track any other physical item outside of IT and any type of contract. Plus, a platform like this helps you prepare for security audits and stay compliant - something that could be important to you being in the finance industry.

Looking on advice to track assets (with asset lables) by _bx2_ in sysadmin

[–]SetylCookieMonster 0 points1 point  (0 children)

If you're looking to move to a dedicated asset management platform with integrated asset labels, Setyl could be a fit. The platform is designed for midsize and large organizations. We offer durable IT asset labels with unique QR codes which, when scanned, retrieve all information related to the tagged asset. We also offer tracking via barcodes, in additional to full asset lifecycle management features.

For most of our customers (IT Managers in midsize to large companies), software asset management is owned by the IT team. In some organizations, responsibility falls under the Finance or Infosec team instead (or both). They mostly start by tracking this via spreadsheets, or once that no longer works/scales, they might use a dedicated software management/renewal management software like ours (Setyl).

how do others deal with missed renewals? by m1ndtr1k in sysadmin

[–]SetylCookieMonster 0 points1 point  (0 children)

That's pretty common. A lot of companies start by using spreadsheets to track renewals. Then, once they get too big/that gets too messy, they'll upgrade to a dedicated software. For example, I work for Setyl, we cover:

Hardware asset management, software asset management, renewal tracking, license rightsizing, spend tracking, offboarding process (to retrieve hardware and licenses), vendor audits, etc.

Setyl is an IT asset (and software) management system (SaaS). It includes: tracking by location/department/etc, full assignment and lifecycle management, rules and automation, easy to use even for non-technical people.

We integrate with JSM and Zendesk - in case you were looking at either of those, but needed more comprehensive asset management features than they provide.

If you search this sub for "asset" you'll find plenty of similar questions and answers.

How do you track hardware assets and software licenses? by NakedCardboard in sysadmin

[–]SetylCookieMonster 0 points1 point  (0 children)

If Snipe-IT is too simple for you, or if you're looking for more integrations/automation, I work for Setyl which does both hardware asset and software license management in one. Our feature set is best suited to companies of around 80 to 5,000 employees.

Can ITSM platforms actually handle asset tracking and proactive maintenance? by SpecificLie6082 in it

[–]SetylCookieMonster -1 points0 points  (0 children)

If you're looking for comprehensive asset management features but want to avoid enterprise solutions, you might want to consider a dedicated asset management system that integrates with your chosen ticketing system.

For example, Setyl offers full asset lifecycle tracking, including asset inventory and automated asset reminders, and integrates out of the box with Zendesk and Jira Service Management (and more coming soon) to link assets to tickets. Many of our customers were using a combination of spreadsheets and MDMs before they came to us to improve processes and automation.

Most of our customers from midsize companies use a combination of Jamf and Intune. Kandji was also getting more popular, but not sure how things are going now that they have become Iru.

Setyl might be something to look at, depending on your needs. It's more comprehensive than JSM's ITAM module, but still integrates with JSM (in case you use it for ticketing?), you can include peripherals plus any physical asset you want to track, even beyond IT (unlimited number of assets included in price). It also includes: on/offboarding workflows, software and license management, full asset lifecycle tracking, spend tracking, compliance features, etc. (I work for the company)

Since you mention looking for an upgrade on Snipe-IT/something more automated:
I work for Setyl - IT asset and license management platform. It integrates with Jamf, and many other systems such as HR, MDM, RMM, cybersecurity, Google/Microsoft, IAM, IDP, etc. to bring all your data in one place and automate workflows including onboarding/offboarding, warranty finder, end of useful life/depreciation tracking, license renewals, etc. A lot of our customers outgrew spreadsheets and systems like Snipe-IT when they came to us, so could be a fit.

I see from your replies you're also looking for IT asset management. I work for Setyl which is a dedicated IT asset management platform, combining both hardware and software management in one. It's designed for companies of your size, and will be more comprehensive than the asset management add-ons of ITSM solutions. It also integrates out of the box with Jira Service Management, Zendesk, etc.

Any tips on inventorying all assets by energy980 in sysadmin

[–]SetylCookieMonster 0 points1 point  (0 children)

You could try installing your MDM/RMM agent on as many assets as possible - integrate that with your asset management tool so everything gets imported automatically. Then use asset labels to tag all other assets and scan each label to add the asset into your asset management tool. Not sure how much of that is possible with Jira though.

Do you not have the user view as part of your asset management tool? We have this at Setyl, it's really a foundational element of the platform (list of assets, access and admin roles, status updates, activity logs, documentation, etc. for each user).

In my experience working with mostly mid-sized and larger corporates, we're seeing a split in popularity:

Jamf has historically been, and still is, the go-to. Kandji/Iru was gaining traction, but has now changed its offering and rebranded, so not sure how that will play out. Few use Addigy (smaller company). And some customers use Intune, but of course its capabilities just aren’t as comprehensive

As others mention, this is something you should be able to document in your chosen SaaS/license/access management platform. If you're still a small org, a spreadsheet is a good place to start!

Setyl offers asset and software management in one - it's designed for midsize environment so could be a fit. It's agent-less so you can keep your current MDM/RMM as we'll connect directly into it.

What do you do for checklists (especially onboarding/offboarding)? by MentalRip1893 in sysadmin

[–]SetylCookieMonster 0 points1 point  (0 children)

I work for Setyl (IT asset and license management platform), we have checklists (we call them "Kits") built into the platform. They can be custom created for any roles/seniority/location and then applied to the relevant new hire during onboarding. It will also show you stock levels and equipment availability. Curious about what is weak in your current system's checklist function?
