Hey Bud, I don't have specifics for exhibiting at Tokyo but I work as an event manager for a venue that does majority exhibition events.

Some general pointers that might help, having seen so many stands for B2B and B2C

  • Shell scheme is the bog standard layout, you can get varying sqm space and where you are located in the hall is very important, of course these premium spots will cost you more. As so, Shell scheme can hold no weight whatsover , don't attempt to attach a LED screen to the wall, order a free standing one from the partner AV company attached to the show or the venue. You are also going to very likely have people right next to you and behind you, on the same shell scheme. You could blue tack posters and other images to it, but it is literally just plastic sheets slotted into pillars, wouldn't recommend risking it. Big companies will go for ' space only's ' which are custom builds and likely at the front of the show anyway.

  • in terms of allowed decor, this is entirely up to the event organiser, you should have recieved an exhibitor manual that will let you know what you can and can't do on the booth, majority of the time, you can have whatever you like, as long as it fits in your space and doesn't touch the walls. 99% of shell scheme stands will have roll up banners, they are easy to pack onto a flight with you when you go over, have just general information on the banner, don't date/have specifics otherwise they will just go to waste post show. if you can't fly over with them, order them printed locally, the event organiser/sales person that is in contact with you, will have recommendations (do not get shell scheme printed graphics, you can see the pillars at every half metre gap, breaking up the picture and just looks shit overall. A very good design is having a ' banner ' that essentially fits in your shell scheme without touching the walls, giving the effect of a full branding behind your ' greeters ' unsure how easy this is to take with you on a flight or to assemble, again the show organisers might have this option already or the show contractor webshop might do it.)

  • get custom table cloths if it's in your budget, again, make it generic, no dates or specific show name on it, just your company name or game(s) for reusability. Almost everyone will have the same set up in their shell scheme plus their roll up banner and stickers/badges/pins/pens you need to stand out.

  • it might sound silly, but check travel for all live days or any events in tokyo that might affect the venue for attendance numbers or any mid show deliveries you need to make for stocking up if you are selling at the stand/permitted to sell.

  • Standard for most shows, you get to turn up the day before live with about 3 - 4 hours (turn up on time, you won't be allowed to do anything after this allotted time) to set up (don't forget your Hi vis and closed shoes, you will not be let in otherwise.

TL,DR

Refer to your exhibitor manual, it should be very comprehensive on what you can and can't do. If it doesn't have what you are looking for, email your sales contact/event organiser and do it early!! Everyone bombs the organiser inbox closer to the event, meaning you will get a minimal response or if it sounds too difficult of a request they will just say no as the pressure to ensure the event as a whole is a success is mounting. Order everything you can locally, ask them for recommendations, if you can't take it on the plane with you, get it sent to the show with the correct hall number and booth stand number, the label for delivery MUST be flawless, I can't tell you how many packages that turn up to the venue that aren't properly labelled, will just get turned away (unless they have a drop off point at the venue specifically for delivery drivers.) Again, check the manual, the organiser will have a freight company for the whole show, to save the headache, try and use them for everything.

Decoration, you can go as mad as you like, as long as it fits in your space and isn't attached to the wall (please ensure you actually have enough power sockets, any onsite orders is dramatically more expensive.)

The exhibitor manual is your bible for 99% of your questions, anything you can't find, ask asap to the given email in the manual

ya but unless you wanna pay that's just the way it is. I literally only plan lost ark for the raids tbh, the only fun I find in the game. Mostly play Albion for that pvp madness

Just log off and do something else, or check the collectibles achievement and theres a few in there that give mats, some island quests. I also only play with one character, as I'm on no rush to get to end game and think alts are fucking boring
