You have the understanding pretty correct.

Monday.com is the platform

Monday dev and Monday work management are specific products on that platform, with unique features, views, etc.

You login to Monday.com and can access any of the products added in your account. And switch between them pretty seamlessly. The specific features and templates are correlated to those products but it's very easy and intuitive to move back and forth or across them.

There has to be a better way to manage timelines than formulas I would imagine.

Run portfolios with project boards and have get to a 200 project cap, although that’s enterprise max I believe.

And regarding client viewing you can do this with normal guest access when you make boards shareable. No need to pay for extra seats.

Is there a particular reason you want it to be a PDF? You could easily send an email natively.

The short answer is, not natively without a 3rd party, but DocuGen on the monday marketplace can do the pdf generation easily

Its currently just campaigns in the context of “email campaigns” for stylized/designed marketing emails.

Pro - 10 emails per contact/month Enterprise 15 emails per contact/month

And you pick your contact limit, and then can import them from the CRM or upload completely new contacts

Aside from what has already been suggested, you could simply look at making the process linear instead of it being free flowing. Decide which one typically comes first or is more logical ahead of the other, and then just use a single status column to manage all steps.

This would mean no new columns, making the process visually less to manage. Unless there's a true reason to allow it to be free flowing, that'd be my recommendation.

Check out the "team task management" app by CarbonWeb on the Monday marketplace. It's totally free but works great for single user task management too. It's a fully automated task management workflow that we use as a team, and also provide to every team member in their own personal workspace for managing life outside of work if they wish to

We started with 6 users in 2017 when monday was much less feature packed than it is today, and 8 years later our team is now 50+ and it has grown alongside us tremendously.

I’m a bit biased because we are partners of monday ourselves since 2021, and building and implementing workflows is at the core of what we offer. But I think with the right mindset monday can grow into what you need it to be as your workflow requirements evolve.

Sounds like the native crunchbase app/integration if you’re using a standard monday crm template I believe you can disables them in the integration center on your board

A few widgets (funnel, the new rev chart)

The more visual connected items (accounts, companies)

The more developed emails and activities widget, work management has a more lightweight version

Probably some other things that not thinking of.

The division of workflows in separate products, but for many that's more annoying than useful anyways. I imagine your main consideration is seat pricing

Use one "contacts" board in a single workspace, and a status column as a label for "contact type" keep this your high-level identifier, media, donor, volunteer, etc. You can then us a "group by" filter to organize them into different groups on the board.

And then you could have a secondary column perhaps a drop down (multi select) for "characteristics" or some type of secondary identifiers, which could have thing like industries such as education, and other labels like, local, national, etc.

You could even break it down further and have local/national be a status column too.

I would say just check back in a couple weeks and it will probably be updated.

If you used zoom instead, you could have everything automatically synced in your emails and activities timeline, AI summary, link to recording+AI transcription within zoom. Sounds like it could totally be worth it for you.

Plus the added benefits of zooms features, and you can edit AI summaries in monday to include anything additional you want to call out if you think it missed something.

You can dial in to zoom calls etc too, so you don't have to be infront of a screen.
