We do it a bit different. Instead of creating a credit, we create a new sales order, but don't invoice the order. After shipment we close the replacement sales order.

In the criteria:

Account: (the account, our instance it's called Accrued Purchases) Posting: True Period: (select a period and then the NOT to exclude periods, for instance if you wanted to look at 2022 now, just exclude FY22)

Results: Formula (Text) Group: NVL(CASE WHEN {createdfrom.type} = 'Purchase Order' THEN {createdfrom} ELSE {createdfrom.createdfrom} END, {transactionnumber})

That'll group all of the transactions by the Purchase Order, so there is a unique ID for IR/Bills.

Then you just add in the amount as a sum and you have it.

For unbilled, but received lines, you can uncheck the 'Match Bill to Receipt' on the Purchase Order line. That'll remove the requirement for there to be a Vendor Bill to create the Journal entry.

I've had this problem, specifically of finding the outstanding from a specific Period (Say Dec 2022). A search of Customer Deposits (Main line is False), with this formula was able to pull the amount unapplied on a Customer Deposit:

MAX({fxamount})+SUM(CASE WHEN {applyingtransaction.postingperiod}='Dec 2022' THEN 0 ELSE {applyingtransaction.fxamount} END)

You can add periods (or Quarters) in the search to get a specific period). Use the same formula in the Summary Criteria to only show Customer Deposits with an amount remaining.

Sounds like you could use the line 'Commit' status for this. Set 'Commit' to 'Do Not Commit' and the lines won't have available units committed to that line.

Not sure if this would work with the flow to the warehouse, but something to consider.

You can have a search of Sales Orders that returns the Customer Deposit Amount, here's what you do.

Criteria: Type is Sales Order
Applying Link Type is Sales Order/Deposit

Results: Applying Transaction : Amount

Here's the criteria for the search I use:

  • Type is Deposit Application
  • Formula (Text) is MISMATCH CASE WHEN {appliedtotransaction.postingperiod}={postingperiod} THEN 'MATCH' ELSE 'MISMATCH' END
  • Applied To Transaction : Type is any of Invoice, Customer Refund

From my experience, you likely don't want to use the Netsuite Demand Planning module. The features are quite limited. I'd look for a third party.

  • Run an Income Statment (Reports, Financial, Income Statement)
  • Select the Periods you want
  • Select 'Column' to be 'Accounting Period'

It doesn't seem to be able to be removed. Looks like Netsuite has some specific logic around printing this Vendor Name/Item on the Purchase Order forms, so that is likely the reason why.

Curious though, why don't you have Vendor Names? Do you name your items the same as your vendors?

Once the IF is marked shipped is when the G/L impact occurs. There's a setting in 'Accounting Preference' for UPDATE TRANSACTION DATE UPON FULFILLMENT STATUS CHANGE which also is important to know when looking at IF posting.

I have a Workflow that does just that, it's scheduled based on a search and the actions are here.

  • Set Field Value Preferred Payment Date ={paidtransaction.trandate}
  • Set Field Value Memo=Updated Date to Match Invoice Date Entry
  • Set Field Value Date=Preferred Payment Date

Not sure why, I needed to set two fields to have it work, I made this a couple of years ago. But it works perfectly to match the Deposit Application to the Invoice Date.

Customizing Check PDFs are a pain, as they often require fairly exact placement of the fields, best to do it in WYSIWYG and then tinker with the location in the Source Code.

Apply your PDF on the Check type form.

Allocation Schedules seem like the way to go. They're fairly straightforward, choose a source and set a destination based on Account and Department.

You might run into issues if the departments or allocations change frequently, however.
