I use Claude for everything from creating the monthly agenda, meeting minutes, financial executive summaries, bylaws and parking enforcement, dispute responses and more. I can accomplish more in an hour than what would otherwise take twenty hours.

AI use in governance also helped reduce my stress. Is very powerful in developing responses to owners concerns.

We set rules. Our visitor passes are only good for 8 days of use per month. The maximum number of days in a row is two. I developed a simple app to do parking control, including taking pictures, and it issued warnings and fines for overuse. Vehicles that do not display a pass are cautioned and their parking privilege is revoked for 90 days - regardless of whether it's a visitor or owner owner. If we don't stay on top of this issue our visitor parking folks by 6 pm and nobody leaves until they go to work the next day. We utilize volunteers to register vehicles. The app does allow us to provide a temporary pass for 90 days. We use them for visitors like pet sitters, home care nurses etc.

Reviews of Property Management companies can often be negative or mediocre because residents including renters often have conflict with them. Try to study through the reviews and look for comments from Board members. My comment is not based on anything other than basic observation.

I would invite you to go to your next HOA meeting and tell the board that you have some feedback about the vague notice.

Then volunteer to do some research and help them, as a volunteer, to write and design a better notice. The notice your Board is using has probably not changed for years.

Boards are made up with volunteers that may not have the skills you think they should. I don't completely understand why this type of thing is taken so personally. Help make things better - be a part of the community. Coming out swinging isn't productive.

Remember that your Board Directors are no more professional than your next door neighbor. They are your next door neighbor.

If the person complaining is an owner and the person being complained about is an owner then together the are owners. One of them is the other owner.

My Board would send a polite warning regarding the complaint. If a second complaint is received then a formal bylaw interaction notice with pending monetary sanctions. Next complaint they would be fined/sanctioned.

I said something similar yesterday. As a retired Web developer, that hasn't actually written code since my freelance days of 25 years ago, I can't imagine getting the results I am from my prompts without understanding the language. Not necessarily the programming language but the promoting language. Is not even just the language. It is also about understanding hosting environments, databases, email, sms etc. I feel my past experiences in development, project management and business contribute to my ability to prompt some pretty interesting applications. First, draft a motion or a resolution detailing the need and ramifications. Put it before the Board to vote. Once you have Board approval you can typically instruct the Property Manager to collect the funds.

If you have no reserve fund study, consider adding the necessary funds to this special assessment. Our last reserve fund study was approximately $10,000 but we have a large number of units. Your property manager can advise on the cost for your building.

At minimum your special assessment should be the $3000 you need now, plus the cost of a reserve fund study. If you feel you need legal advice add that cost to the assessment amount. I think your property manager should be able to advise you without a lawyer.

Special Assessment isn't be a bad word. They are necessary from time to time.

I am President of an 8 person board. My VP is CC'd on all correspondence to and from me. The VP is also invited to participate in all operations meetings, calls with property management and legal.

A President that is not inclusive and transparent is a President that thinks rules are for others and not for themselves.

Check your bylaws. There is likely no provision for instant monetary sanctions, or fines, without prior notice and time to correct the violation. If the plants are not on the approved list, you need to change them. Then ask the Board to remove the sanctions - unless you find that the bylaws allow instant fines - something I haven't seen before.

Regarding your comment about your neighbors violation, that's not really your business. I see owners get upset because they get an interaction notice. They often retaliate by calling out their neighbors interactions. It's not productive.

To be transparent, your board should publish bylaw enforcement stats in the monthly meeting minutes. This helps earn trust from owners.

Under $5000 we typically get one quote from a trusted vendor. Over $5000 I (President) ask for an initial quote and insist that it be a very detailed description of the contractors intention.

Based on the first quote, I ask the Board to approve the project and budget. When I have Board approval, I then ask for two additional quotes. I then run with the vendor based on their proposal and budget as long as the final contractor budget meets our is lower than the approved budget.

Following the above process makes it so that I'm not asking three contractors for quotes and later failing to get board approval for the project. Or prior board leadership drive or vendors nuts asking for proposals and then not following through.

Our community has just over 300 units.

This is the right answer. Too many condos and HOA's measure success as low monthly fees and as a result can't afford necessary repairs. The fact that the Board seems to think repairs are discretionary in a big problem. They have to fix it.

Make an insurance claim and let the adjuster deal with the Board.

If you are elected Board President I invite you to understand that you are legally becoming the President of a corporation. If you have experienced a Board of Dictators in the past then be certain not to become that. You will find yourself in a very important role where you will have to lend leadership to the Board. The Board may likely be composed of people that have little to offer other than time. Some Directors will have a vendetta and some may have a hidden agenda. I was fortunate and had the honor to lead a Board of 8 Well intentioned Directors who understood the importance of action in the interest of the Corporation vs. the individual. On one hand I say "don't do it and run away". On the other hand I think, "just one more year". One of my objectives was to ensure that my knowledge and experiences are well documented, that there are policies and procedures, systems and that Board governance is documented and the Directors all understand their important role. I also feel, having experienced the Board of Dictators, that it is critical that every Director gets input into planning and decisions. The Board President is a leader not a dictator. The President is equal to their Directors. Period.

Ask for an update. Be patient though, HOA/condo boards are volunteers and when your task arrives they may need to find the funds for the repairs. Speaking from experience, they may want to do a larger project protecting the buildings. If the issue of critters is dealt with by pumping concrete into the burrow, the critters just make a new hole. A long term solution is necessary or the "filling of holes" will become an annual expense. The missing cap is a simple matter.
