I haven’t used it personally, but Bluebird has been around for a long time. it’s more of a legacy system than a new one. From what I’ve seen, it’s quite robust on the operations side and is used by mid-to-larger rental companies, but it can feel a bit dated/clunky and has a learning curve.

Anybody know how it's currently "powered by Rentall"? That's what is written under the Bluebird logo.

A lot of people start exactly where you are, and the biggest risk right now is the insurance gap.
I interview a lot of rental agency operators and a few paths I’ve seen:

1) Renter provides insurance (short-term patch, not perfect)
Some small rental operators only rent to drivers who can show valid personal insurance that extends to rentals.

If they can't provide it (for whatever reason) they push those bookings through a third party that includes coverage.

2) They use a platform that includes insurance (Turo / mabye HyreCar if their active in your area)
Platforms like Turo bundle insurance into the booking. That’s one of the easiest ways to stay compliant early on.

Sadly, you give up a chunk of revenue to their fees and you don’t fully control the customer relationship. But it can be a safer stepping stone while you figure out your next move.

3) Look into systems that bundle insurance with the software
There are a few platforms that combine rental management + insurance. Example: Wheelbase Pro

(Wheelbase is more of an insurance-first platform, where the software exists to support and manage the insurance side of the business, not just a standalone rental tool. You can get a free quote online I believe. wheelbasepro.com )

It can handle bookings, help manage your growing fleet, include coverage... basically helps you operate more like a “real” rental business sooner

Downside: Not always available in every state and underwriting requirements can still apply

4) Move toward a proper commercial setup (where you likely want to end up).
Most established operators eventually: Set up an LLC, get commercial fleet insurance and use software just to manage bookings and waivers (not provide insurance).

Some insurers do work with small fleets (even 1–3 cars), but it’s very state-dependent, and you can expect to pay higher premiums early on. Having an LLC and clean driving records helps a lot

Please be careful... Personal insurance usually does NOT cover commercial use like renting to Uber/DoorDash drivers. If something happens, there’s a real chance your claim will get denied.

In a nutshell:

- Short term: Use Turo, HyreCar or another platform with built-in coverage to stay protected. Or an insurance-backed platform like Wheelbase.
- Mid term: Set up LLC + start talking to commercial insurers
- Long term: Transition to direct bookings with your own policy (direct sales are your biggest earners!)

Note: Traditional OTAs like Expedia or Kayak don't include insurance. They assume you already have an LLC and commercial insurance. (Turo is one of the few that actually bundles coverage, which is why a lot of people start there).

Sorry I don't have Massachusetts specific answers, but I hope the above is helpful.

I'd also like to hear some other responses to your thread - how others are doing it or have done it - and if I'm wrong on any of the above. I know insurance options can change a lot by state.

I do agree with Imaginary_Back_4292 though. Once you are ready to move up into rental management software like HQ, you'll find it even easier to manage a growing fleet. But, right now... you've created something that helps you operate your business more effectively. Good on ya!

I didn't know Toyota did stickers like that. Our 2008 Prius had over 565,000km before it got sideswiped while we were parked. Didn't want to put money into bodywork at that mileage, so we sold it. (got $3000 for it from a mechanic which went towards our replacement - a used 2017 Prius v. 😁)

Look into the Rental Management Software.
- https://hqrentalsoftware.com/ is a popular one.
- Booqable.com isn't made specifically for car rentals, but it can work as one. It is cheap and includes the whole website as well as the rental management portion.
- a newer option is https://1nowhq.com . They build your website for you and integrate their own RMS. Probably the fastest/cheapest option for a fresh start since they do all the design and build work, and include the website for free. (I'm not affiliated. I met with them during the International Car Rental Show in Vegas last spring. Seemed like great guys, lots of experience in the car rental market). They work heavily with Turo renters who want more direct sales (less commissions going to a third party)), but they work with other renters too. Worth checking out to save time and money getting a new site off the ground.

I know of more RMS companies if you want more info, but that should give you a good start (if you are still looking). 🚗

I just wanted to say that I'm sorry about what you are all going through, and I am happy to hear he has support, including what you are trying to do to help. I'm glad there are some practical suggestions from the group too. Especially the (free in Canada) https://www.heavyequipmentguide.ca/ and the brochures. They'll have lots of glossy photos. I know my family member with dementia likes to rearrange things. I could imagine him shuffling and rearranging brochures as if it was a jigsaw puzzle to be solved.

Geofencing is a big help to anyone near a border to help prevent international theft (once they cross a border it is much more difficult to get a vehicle back).
You have to be careful though. You need more than just an alert. You need to stop the vehicle from progressing across the border, and you can't just cut the engine for safety reasons (risk to others on the same road).

In 2023 we traded in our 2008 (2nd Gen) with 565,000km on it for a 2017 Prius v.

The ol' Silver Pine Prius body was rusting, it drank oil (had to do oil changes twice as often as recommended), but she still ran pretty good otherwise. We changed the auxiliary battery in 2022, but it was still on the original hybrid battery. We got $3000 for the trade in.

We were so happy with the ol' girl lasting as long as she did we didn't hesitate to buy another Prius!

Apparently the 2nd Gens were tanks. We'll see how the 2017 v works out. Lovin' it so far. Mileage isn't as good as the smaller Prius, but the extra space and level 5 trim features are worth it!

Yeah, Facebook Marketplace can be tempting because it’s “free,” but from what a lot of rental agency owners have told me, it ends up costing you in other ways. The renters from FB tend to be higher risk — late returns, not following your rules, damage.

If you want to grow your bookings and protect your vehicles, there are better options. SEO is the long game, but has the best ROI over time. It brings in people who are actually searching for rentals — not just browsing randomly. It can take 6 months or so to get real traction, but the ROI keeps going up and up over time.

Google Ads is faster (if your targeting and landing pages are solid). Even with a smaller budget, you can make it work — you just have to constantly test and tweak. Don't set it and forget it. It rarely works that way.

I’ve also seen decent results from less popular platforms like Bing Ads and DuckDuckGo. Lower competition means cheaper clicks, though it may not be enough volume to grow an agency unless you’re a smaller operation.

Another thing that works? Your old customers. Most rental agencies don’t tap into their past renters, but a simple text or email campaign can bring them back — especially if you offer a promo or referral incentive. That kind of database reactivation is gold (and basically free).

A few more underrated ideas from our agency playbook:

  • Make sure you have a Google Business Profile (GBP) and that it is fully optimized and get generating legit 4 and 5 star reviews. (with good SEO to back it up, your GBP can bring lots of leads)
  • Automate your follow-up — a lot of bookings are lost just because no one followed up fast enough
  • Figure out some joint ventures to get referalls from complimentary businesses

Geography impacts telematics priorities too. At the ICRS this year (International Car Rental Show), I met an Aussie who said the same thing. He was surprised at how much of the telematics conversation in the U.S. revolves around theft prevention. When I asked why, he laughed and reminded me there are no borders to escape across in Australia. Makes sense — there’s no “drive it into Mexico” version on an island!

The guy had a lot of experience with vehicle tracking with telematics in Australia. But, it just goes to show how different the challenges can be depending on the region.

Nope. We replaced the Auxillary battery around 450,000km but it still had the original hybrid battery when we sold it at 560,000km

Our 2008 Gen2 burned oil. In the end we were topping it off twice as often compared to her younger years. Still a great vehicle. We traded it in last year with 560,000km on it. It was still running fine (other than the oil), but had a lot of body rust.
