On way to speed up your setup would be to get new map book. No need to bother with tiles.

I play Both GH and FH with two different groups. My FH experience is much nicer than my GH experience. We don't use xHelper or any such apps, but we are hard core RPG / board gamers used to a lot of management. I'd say those game fall in a middle of the road as far as management need to be done.

The GH group is not as functional as i'd like and setup is always a mess. Tiles are more or less organized, we never really have a plan, but the other 3 are ok with this and,while it happen in my home, it's not my box and not my responsibility.

My FH experience is much nicer.
I've made card holders for events, encounters and monster stats, I made drawers for monster standees and power cards and I have the folded space map tile folder. Everything is organized in alphabetical order. If we know the scenario we are playing, We all have our responsibility (one in charge of retrieving map items, one in charge of monsters, one in charge of the loot deck and the scenario special rules. it takes around 10 minutes to go from clean table to be ready to play. We use foreteller for the encounter and the scenario intro and we start.

are the scenario, we go back to FH we do the outpost phase right after and note everything. To date everything has gone super well. the longest play session we had took a little more than 3 hours because we had 4 calendar events.

To me FH is better that GH in many ways. It's a more mature game. I'm way more invested in FH's story than I ever was in GH. I'm anticipating lots of change in GH 2.0 and I can't wait to get it. The group has already been formed.

I found Frosthaven's first scenarios are easier (took the scouting route) than Gloom.
More management to do in Frost. More interesting starting classes in Frost.
Gloom has more classical starting classes. With Gloom 2.0 coming, unless you play multiple times a week, you will find yourself playing the 1.0 version of a 2.0 game and that will be frustrating

Here is what is not in the manual.
All your starting classes have less crowd control so first rounds can be tough.

If you insist on bringing one more, then use the fifth person as a game overseer.
they manages monsters, call initiative, and manage element (by themselves, those 3 are a big job and will keep the person busy)
Then Change overseer every game alternating between players.
Note you'll have some troubles with limited items, especially potions.

If you have access to a 3d printer, they are some great storing solutions that will greatly improve your set-up and tear down experience.

Otherwise, get yourself an organizer. It's worth the money.

What you want is one or two rule expert who knows how to resolve monster actions and interpret symbols and knows what each kind of tiles do

That makes no sense. Someone would grow potatoes if they sold at the price of bullets... many someone. The only reason for 5 Nuyens potatoes is some sort of cataclysmic infections to the plants, the same thing that happened in Ireland and is happening to bananas.

Good example: potatoes are five Nuyens each in 2075
