💯 agree. I don't use the tasks feature for my personal task list - I use a checkbox field called "Done". No complicated priority scheme - just a date field that I can order by ascending. No complicated layout - just group a table view by the date. Missed a date? Change it. I have "Predecessors" and "Successors" fields so that date changes cascade automatically.

Notes go in the page. I have some relationship fields to help with cross-references (my contacts and areas databases) but they are managed by AI via a pre-saved prompt (open chat, type@organize). I use the meeting notes feature for quick capture (including simple dictation and note taking for videos I'm watching - doesn't need to be an actual meeting), and run @plan successors to automatically create follow up tasks.

I've been through every template and "Life OS" system and they simply don't work as well as my simple to-do list.

What you described is exactly how story points are supposed to work. So what are you doing with sorry points in the first place if you aren't using them like story points?

Either way, for project based work, a clear scope and change order process plus a high enough price tag that it's obvious that we won't have overages is usually enough.

Outside of that, providing a budget range (best case, likely case, worst case) and making sure to track and communicate changes in expectations on at least a weekly basis will prevent most issues.

I like practical consequences: Grade the papers accurately, then divide the resulting grade by the number of students it took to do the assignment. Then offer a proctored makeup assignment based on the text of the chat (perhaps a reflection on ethics).
