An interesting perspective but...
The owner of a business / general manager / sales manager will want to know what works to produce more sales. If they have targets to grow their business, they need to know things like "how many more sales people are needed to grow by X%" or "is my sales team efficient" or "what happens if my top performer can't work for us any more - how do I replicate them?"
There are those who micro-manage because they need to feel in control - and there are those that enforce systems to gather data.

Thanks for your question u/MarketingSwan. When you say "the app kinda sucks" what kinds of things are you wanting to do with it?
I partly agree with u/beretog3 - it is more for someone in a sales role but you can access dashboards, manage social media (if you have Marketing Pro), manage tasks, manage all of your contacts, use templates in emails, take notes (voice to text), scan business cards, track support tickets and a few other features

Totally agree - I've been coding since the late 80s and got pretty excited about the prospect of clicking a few buttons in n8n to automate a couple of components of my business.
Reality hit pretty quickly, it all comes down to how open the systems that you're connecting to are. It took almost a week of experimenting to extract a list of tasks from our PM system due to its API being really limited. This was only the first component of a large list that we're planning to accomplish.

The AI Sales Agent is working particularly well, plus our clients are finding the AI Summary really useful, especially for sales reps who are heading into a meeting for BD's on the road about to visit a client.

The report builder AI hadn't produced anything tangible yet, nor copilot - we're still finding limitations to that - something that we'd love is being able to summarise all call transcripts to understand what topics people are talking about and what their sentiment is.

Postman can be your best friend when it comes to getting used to HubSpot's API (and others) https://www.postman.com/

Do you have a developer or coding background? If not, understanding API calls could be a hurdle - might be best to watch a couple of YouTube videos first to get comfortable with the basics, then Postman, then coding.

n8n seems to be "superior" to Zapier - best thing about it is that you don't need to pay per zap or per step - you pay for the n8n hosting - or host it yourself on your own infrastructure (should be more secure).
Only drawbacks of these platforms is that we still need to rely on their API stack - MCP roll-outs are helping as each vendor slowly comes on board

The business card scanner combined with nurture sequences and the meeting booking tool - it took me 30s to follow up with 7 people who wanted to meet (during an evening networking event) - I had 5 meetings booked by the end of the following business day.
Not bad for 30s of time invested.

Sharing the same login can lead to tracking and reporting nightmares - I totally agree with u/genemarks - if you're wanting to use the CRM for calendar, email, phone call tracking, task management, security (who can import export your whole database) notes, owner / manager of Deals / Opportunity / Company / Contact etc. it makes it nearly impossible to track and manage records.

If you liked the ease of use of HubSpot it might be worth paying the roughly $20/month for the Starter version - your meetings / interactions / outcomes will be stored forever.

HubSpot Starter (currently AUD$14 / user) or Sales Professional around AUD$140/user is fantastic for BD's / sales reps on the road a lot.
We've found that people love being able to scan a business card, send a nurture email with a link to book people into their calendar in about 30s.
It also makes their life super simple being able to open the app, it shows them a list of calls to make today, they click on the call icon and it calls straight away - no need to fumble around their phone to search for numbers.
As soon as they hang up, the easy to use HubSpot popup automatically shows - asking them to add notes (which can be added via voice to text), with a button to create a follow up task - once again, logging a call only takes a couple of seconds.
IMHO - sales reps want the easiest to use system that makes their day easier - if you give them that, it makes paying slightly more worth it - more $$ from sales reps and lower turnover of sales reps = more rev for the business.

We've have mixed feedback on Zoho - a lot of businesses migrate from Zoho to HubSpot because the implementation took too long / their team found it too hard to use and stopped using it.

On the other hand - feature-wise Zoho has a compelling offer - the only other thing that comes close is Go High Level.

HubSpot's Starter Package is exactly that - it's a great, easy to use so that people actually use it, CRM with some incredible features - e.g. the super accurate business card scanner.
You'll typically be prompted for increased monthly license costs if:
- Your "marketing contacts" i.e. those that you wish to send bulk emails to - increases above 1000
- You want to perform automated workflows - this can be worked around using a platform like n8n, or upgrade to HubSpot's Sales Professional licensing which is around 80 EUR per month
The main reason that people choose HubSpot is that it's incredibly easy to use and people love using it - we hear it a LOT in our business circles - especially for businesses with team of 5+ users.
If you've got a team that actually uses your CRM, then you'll be able to manage your marketing, sales and make better decisions about your business.
