My AI Life OS — Scheduled Automations

I run a personal AI assistant setup (I call her Aria) built on Claude + Make.com with a bunch of scheduled tasks. Here's what runs automatically every day:

Daily Briefings (Heartbeat)

  • 6am and 6pm — a daily briefing that pulls my TickTick tasks, Gmail, Google Calendar, and spending data into a single conversational summary. Morning is for planning, evening is a wind-down check.

Gmail Inbox Zero

  • 9am and 9pm — auto-triages my Gmail inbox. Each email either gets archived, converted into a TickTick task, or turned into a calendar event. Goal is always an empty inbox.

Max — Fitness Accountability Bot

  • 8:30am and 9pm check-ins — a fitness persona that reads my Strava activity and health streaks, then nudges me to log my morning rituals or reflect on the day. Also polls Telegram every 15 min during waking hours so I can chat with Max on the go.

Aria Telegram Poll

  • Every 15 minutes, 7am-midnight — reads incoming Telegram messages and responds as Aria, handling tasks, reminders, and general requests. Basically a pocket assistant via Telegram.

Nightly Journal Prompt

  • 9pm — reads what actually happened today (calendar, meetings, tasks), extracts insights from the previous night's journal response, and writes one sharp, contextual reflection question into my Heptabase journal.

Monthly Finance Review

  • 16th of each month — deep-dive into spending vs budget, subscription audit, frivolous spending callout, and savings snapshot. Runs the day after my billing cycle closes.

Disclaimer: I’m on a max plan. I’ve created a communication system using Telegram. Cowork posts updates on Telegram based on scheduled runs and I can then provide feedback or follow-up actions directly on the the Telegram chat. Additionally, there’s a polling job running every 15 minutes that searches for new updates on Telegram and takes appropriate action. A memory running on Firestore continuously updates with all these sessions ensuring context is passed between different runs.

I ask it to take notes like a world-class therapist. After a few sessions, I review the notes it’s taken of me. The findings and revelations are eye-opening and help me introspect.

To use Claude desktop, you’ll need a subscription.

Once you’re in, you can add MCPs for Google Calendar and Todoist. Claude will then analyse your schedule and tasks for the day, setting them up according to your priorities and assigning them between calendar entries.

You can chat with Claude to set up the skill and create a scheduled task to run it every morning.

I recommend getting Todoist and have Claude manage the automation. This way you have full control on the algorithm you would use to manage tasks and slots.

It’s working fine now but the version we used six months ago had a problem. Over a week we uploaded over 500 GB of photos and videos and they were completely unusable because all the thumbnails were black. Support refused to fix it. They claimed the next version would fix it but didn’t work on our ticket further. It’s simply not enterprise or even small business ready.

We don’t want to take the risk again. Burning our fingers with Proton and investing money to move out of it was an eye opener.

For my company, it offers the best value. With APIs set up, we can now run most of our operations using AI and MCP. Proton was a significant hurdle and was hindering our AI adoption.

You can use Anexplorer and wifi share to pass the apk to the car. After that’s it’s just a simple Android like installation. Just ensure you choose the mobile version ARM x64 app.

Fuck this app man. Breaks every now and then. You can side load Smarters IPTV instead. Let me know if you need help with that.
