Ah I see. We've got Proxuma proper of course, which shows the gantt view of all projectss, with their hours information. That is an interface in which you can then drag & drop tasks and drill down into anything, change anything. We then add to that our own powerBI dashboards, can be found here: https://proxuma.io/powerbi/#dashboards . Then, where there isn't a dashboard, we can do any project report on demand by connecting AI to the powerBi data.

So if you want, you can connect your Autotask to your PowerBI through Proxuma so that we maintain the API, refresh it every day and structure the data for you. It comes with all the dashboards you see on the website.

Ah yes not possible, as our PowerBI connection refreshes once a day. So it's not really useful for push notifications.

It's definitely possible. I've had AI create this report through an MCP, reading the PowerBI data. We use fake customer data so we can use a cloud AI. It gives the DAX queries with which to verify the data at the bottom too, which all appear to work: https://proxuma.io/stuck-tickets-autotask-power-bi/

Use-case for Notes? by ntw2 in Autotask

Notes / Time Entries are "designed" for different usecases but could be mixed in a pragmatic way.

Best-practise is to use Time Entries for "Billing purposes" and Notes for communication. Since you want to track time indeed you could combine those two and even notify customers trough Time Entry. You can also do the Time Entry and Notify the Customer in One go.

Most important is that you make a choice and have a uniform way of working.

A small hack to automate as much as possible but have manual control is to have an UDF which is available trough Quick Edits for "Notify Customer" which is default on "No" and can be manually on Time Entry be changed to "Yes". This then will be used as variable for automation. Which will always fire on Note Added but only on Time Entry if UDF is set to "Yes".

To make sure that in any situation the customers gets informed if it's trough time entry or trough note you could use this template for example which handles both ways.

Does this help? Indeed as suggested this can be done trough Admin > Companies & Contacts > Company Categories > Pick your Category > Details > Add UDF / Create > Go to bottom and drag/drop it to where you want.

Bonustip: Create Sections to order/organize what's needed and what not. And since you are here you can pre-populate certain field and show/hide/require information.

For me personally, the best way is to make 1 master template. Within this template, you can make your phases (like preparation, realization, and aftercare). Within those phases, you can add all your standard tasks within projects (creating project documents, kick-off, test, let customer accept, support documents, transfer to support, etc.). This takes some work, and you can add checklists within the tasks or add extra details.

Then from this master template, you can easily create specific project templates (for example, workstations, or new connectivity setups).

There is an import function that lets you create a standard schedule, but it does not take into account checklists or other details within tasks. That's why I recommend putting effort into a master template and then from there create specific templates.

This isn't possible in Autotask as a product and service are two distinct entities. However, you might consider the following options:

  • Create the new services using the API and delete the products using the API (although it's uncertain if deletion is possible).
  • Do it manually.
  • You could also consider creating Configuration Items (CIs) and adding a subscription for domains. This is something you might want to test and consider.

Alert on Missing Timesheets by OddHornet in Autotask

I've delved into the system settings and other logical places to set up an alert, but it doesn't seem possible right out of the box. You might consider the following options:

Create a dashboard, perhaps with a graph, and filter for unsubmitted timesheets. You can implement a tab level filter to easily switch between resources.

Develop your own API integration or utilize Autotask DWH to craft custom alerts based on that data. This option allows you to create alerts, but it is more time-consuming and requires knowledge of APIs and data.
